SmallBizServices

Data Retention Policy

Effective October 18, 2026

This policy says how long Day to Data Inc. keeps data in SmallBizServices, and what data you may and may not submit. When you create an account you confirm that the data you submit follows this policy, the Privacy Policy and the Terms of Use.

1. What you may submit

Submit only business information you need to run your work, and only if you have the right to: client and property details, contact names, phone numbers, emails and addresses, estimates, work orders, invoices, payment records and photos of the work.

  • Do not submit card numbers, bank account or login details, government ID numbers, health information, or information about children.
  • Do not submit information you are not allowed to share, or content that is unlawful or infringes anyone's rights.
  • Keep entries accurate and up to date; remove information you no longer need.

2. While your account is active

We keep your company's data for as long as the account is active, so you can use your history. Records you delete in the Service are removed from the live system; an audit log of changes (what changed, by whom, when) is kept for the life of the account. Suspended accounts keep their data intact; nothing is deleted because of a suspension alone.

3. After cancellation

  • For 90 days after the account ends, the Owner can ask us for an export of the company's data. Write to info@smallbizservices.us.
  • After 90 days we delete the company's Customer Data (including photos and translations), user accounts, notification settings, audit log and uploaded files from the live system.
  • Copies in backups are removed as backups expire, within 35 more days.
  • Reinstating a cancelled account within the export period restores the data.

4. What we may keep longer

  • Billing and payment records for our own accounting and tax obligations, for up to 7 years.
  • Records we need to establish, exercise or defend legal claims, such as the consent record (the text agreed to, IP address and date).
  • Combined or aggregate statistics that no longer identify a company or person.
  • Security and audit logs of platform access to company data, for as long as needed for security and compliance.

5. Requests

To ask for an export or earlier deletion, or to raise a concern about retention, write to info@smallbizservices.us. Where the law requires us to keep something, we will tell you what and why.

6. Changes

We may update this policy and will notify Owners of material changes.
